Privacy Policy

How we handle personal information collected through this website and our application, leasing, and property-management activities in Missouri.

Grayridge Management LLC ("Grayridge," "we," "us," or "our") is a Missouri limited liability company that owns and manages residential rental housing, including units participating in the federal Housing Choice Voucher (Section 8) program. This Privacy Policy explains what information we collect, how we use it, and the rights available to Missouri residents and other individuals who interact with us.

This policy applies to www.grayridgemanagement.com and www.greyridgemanagement.com (together, the "Site") and to information we collect in connection with rental applications, leases, and property operations. It does not apply to third-party websites we link to, or to information governed by separate housing authority privacy practices.

1. Information we collect

Depending on how you interact with us, we may collect:

  • Contact information you submit through the Site or by email or phone, such as name, address, email, and phone number.
  • Application and tenancy information required to evaluate a rental application or administer a lease, including date of birth, Social Security number, government-issued ID, household composition, income, employment, rental history, and information needed for background and credit screening.
  • Housing assistance information exchanged with a public housing authority ("PHA") in connection with the Section 8 Housing Choice Voucher program, such as voucher details, inspection results, and Housing Assistance Payment ("HAP") records.
  • Payment information such as bank account or card details used to pay rent or deposits, processed through third-party payment providers.
  • Property and maintenance information such as service requests, photographs of repair conditions, and inspection records.
  • Site usage data such as IP address, device and browser type, pages viewed, referring URL, and timestamps, collected automatically through cookies and similar technologies.

2. How we use information

We use personal information to:

  • Evaluate rental applications and screen prospective residents in compliance with the federal Fair Housing Act, the Fair Credit Reporting Act ("FCRA"), and Missouri landlord-tenant law (Chapter 441 RSMo and related statutes).
  • Prepare, execute, and administer leases and security deposits in accordance with Missouri law, including Section 535.300 RSMo (security deposits).
  • Coordinate with housing authorities, conduct HUD-required HQS or NSPIRE inspections, and process HAP contracts and payments.
  • Operate, maintain, and repair our properties and respond to resident requests.
  • Process rent and other payments and maintain financial records.
  • Communicate with applicants, residents, vendors, and investors.
  • Detect and prevent fraud, enforce our agreements, and comply with legal obligations.

3. Fair Housing

Grayridge complies with the federal Fair Housing Act, the Missouri Human Rights Act (Chapter 213 RSMo), and applicable local ordinances. We do not use personal information to discriminate against any applicant or resident on the basis of race, color, religion, national origin, ancestry, sex, disability, familial status, source of income (including Section 8 vouchers where protected by local law), or any other class protected by applicable law.

4. How we share information

We share personal information only as necessary, including with:

  • Tenant screening and credit reporting agencies, consistent with the FCRA.
  • Public housing authorities and HUD in connection with Housing Choice Voucher administration, inspections, and HAP payments.
  • Service providers such as property management software, payment processors, maintenance vendors, attorneys, accountants, and insurance carriers, under confidentiality obligations.
  • Government authorities when required by law, subpoena, court order, or to protect the rights, property, or safety of Grayridge, residents, or others.
  • Successors in connection with a sale, merger, financing, or transfer of all or part of our business or assets.

We do not sell personal information for monetary consideration.

5. Cookies and analytics

The Site uses cookies and similar technologies to remember preferences, secure the Site, and measure performance. You may control cookies through your browser settings; disabling cookies may affect Site functionality.

6. Data retention

We retain personal information for as long as needed to provide our services, comply with legal and tax obligations (including HUD recordkeeping requirements and Missouri statutes of limitation), resolve disputes, and enforce our agreements. Tenant screening records and lease files are typically retained for at least the period required by applicable federal and Missouri law.

7. Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. No method of transmission or storage is completely secure. In the event of a security breach involving personal information of a Missouri resident, we will provide notice in accordance with Missouri's data breach notification statute (Section 407.1500 RSMo).

8. Your choices and rights

Missouri does not currently have a comprehensive consumer privacy statute, but you may always:

  • Ask us to update or correct contact information we maintain about you.
  • Request a copy of records you submitted as part of a rental application or lease, subject to verification.
  • Opt out of non-transactional marketing emails by following the unsubscribe instructions in those emails.

If you were denied housing based in whole or in part on a consumer report, you have rights under the FCRA, including the right to a free copy of the report from the consumer reporting agency that supplied it and the right to dispute inaccurate information.

9. Children

The Site is not directed to children under 13, and we do not knowingly collect personal information from children online. Information about minor household members is collected only as part of an adult-submitted rental application, as required by HUD and Missouri law.

10. Changes to this policy

We may update this Privacy Policy from time to time. The "Effective date" above indicates when it was last revised. Material changes will be reflected on this page.
